What is POS?

POS full meaning stands for Point of Sale, refers to a system that integrates hardware and software to facilitate and manage retail transactions. A well-functioning POS system requires a POS application, which is typically a web-based software solution used to operate the system efficiently. In addition to the software, certain hardware components are also essential. These include a computer or device, a receipt printer, a barcode scanner, and a card reader—all of which collectively comprise the POS system's hardware part. The core functions of a POS system include tracking sales and purchases, accepting payments, maintaining financial records, managing inventory or product stock, generating profit and loss reports, and handling customer management. A reliable POS system helps businesses streamline their operations, improve accuracy, and enhance customer service.

POS Software Price in Bangladesh

The price of POS software in Bangladesh largely depends on your business needs and specific requirements. However, several key factors can help estimate the possible cost.

First and foremost, the type of business significantly influences the cost, as different industries require different types of POS systems. For instance, POS software is commonly tailored for restaurants, retail stores, pharmacies, supermarkets, and garment businesses in Bangladesh. Each of these industries may require unique features and configurations, which directly impact pricing. Generally, the more features a POS system includes, the higher the price. On the other hand, lightweight or limited-feature POS systems tend to be more affordable.

Another important factor is the number of users. Multi-user POS systems usually cost more than single-user systems. Additionally, multi-store support increases the cost compared to a POS designed for a single outlet.

The deployment model also affects the price, whether the system is cloud-based or locally installed. Cloud-based POS solutions are typically more expensive due to added benefits like real-time access from anywhere, automatic data backup, and updates. Local server-based POS systems are often cheaper but come with limitations, including restricted access and higher risks of data loss without proper backup. Cloud-based systems are now considered the industry standard due to their reliability and flexibility.

The brand of the software and the quality of service also play a major role in price variation. Well-established or premium software providers often charge more than lesser-known or local developers. Additionally, systems that include strong after-sales support tend to be priced higher, as ongoing support is a crucial factor for business continuity and customer satisfaction.

Approximate POS Software Pricing in Bangladesh:

Cloud-Based (SaaS): BDT 800 – 5,000/month (Includes auto-backup, remote access, subscription model)

Local Install (One-time License): BDT 10,000 – 50,000 (No cloud support, installed on your system)

Custom POS Solutions: BDT 50,000 – 200,000+ (Tailored development with advanced features; may include monthly maintenance fees)

Hardware Bundles: BDT 25,000 – 150,000+ (Includes receipt printer, barcode scanner, cash drawer, etc.; may have installation or maintenance costs)

Market Insight: In Bangladesh, the most popular model is cloud-based SaaS POS, with typical monthly fees ranging from BDT 1,000 to 2,500 and one-time installation charges between BDT 5,000 and 10,000.
However, caution should be taken with extremely cheap offers. Some providers offer full-year POS access for just BDT 2,000–4,000. These often use outdated, backdated scripts and provide little to no after-sales support. Also they have no genuine License of Software. In many cases, such vendors become untraceable when technical issues arise. For any serious business, after-sales service and data backup are critical components. It is highly advisable to avoid using a POS system without backup options or proper support.

POS Accessories

POS (Point of Sale) systems manage sales transactions, track inventory, process payments, and generate reports to streamline business operations efficiently.

A POS system works by scanning products, calculating totals, processing payments, updating inventory, and storing transaction data for reporting and business management.

To use a POS system, log in, add products to the cart, scan or select items, accept payment, and print receipts to complete the transaction.

The best POS system for small businesses offers inventory management, easy billing, reporting, and cloud access—popular choices include NFS POS, Square, Shopify POS, and Loyverse.

POS Machine Price in Bangladesh

Setting up a complete and functional POS system requires several essential tools and accessories. Below is a breakdown of the key components needed for a POS setup along with their estimated prices in Bangladesh:

Computer / POS Terminal – A computer or POS terminal is required to run the POS software. Depending on the configuration, the price typically ranges from ৳15,000 to ৳40,000. Receipt Printer – Used to print transaction receipts (invoices) for customers. Thermal printers are most commonly used for this purpose. Price: ৳3,000 to ৳8,000. Barcode Scanner – Helps scan product barcodes to quickly input data, supporting both inventory management and billing processes. Price: ৳2,000 to ৳6,000. Cash Drawer – Used for securely storing cash. It connects to the POS software or receipt printer for automatic operation. Price: ৳2,000 to ৳5,000. Customer Display (Optional) – Displays transaction details such as product names and prices to the customer in real time. This enhances transparency and trust. Price: ৳4,000 to ৳10,000. Card Reader / POS Machine – Allows payment through debit or credit cards, especially in retail or service environments. Price: ৳5,000 to ৳20,000. Barcode Label Printer (Optional) – If you need to generate your own product barcodes, a barcode label printer is required. Price: ৳8,000 to ৳20,000. UPS / Power Backup – Ensures the POS system remains operational during power outages. Price: ৳3,000 to ৳8,000. Internet Connection (for Cloud POS) – A stable internet connection is essential for cloud-based POS systems, enabling data sync, auto backup, and remote access. Monthly cost: ৳500 to ৳2,000.
Among all these accessories, the thermal receipt printer is considered one of the most critical components of a POS setup, as it provides essential printed transaction records for customers and accounting purposes.

POS Printer Price in Bangladesh

The POS printer is one of the most essential hardware components in a point of sale system. While some users opt to print receipts using inkjet or regular printers, these come with several limitations. The most recommended and efficient solution for printing POS receipts is a thermal printer.

There are primarily two types of thermal printers available in the market: 58mm thermal printers and 80mm thermal printers. These are specifically designed for POS receipt printing. Whether you should use a 58mm or 80mm printer depends on both the printer’s hardware design and the POS software configuration. For example, you cannot use 80mm paper in a 58mm printer due to its smaller paper slot. Similarly, if you use 58mm paper in an 80mm printer, there will be unnecessary white space on the sides.
POS software typically allows receipts to be printed in either 58mm or 80mm formats. Some advanced POS systems automatically detect the paper size and adjust the receipt layout accordingly (responsive layout), while others require manual configuration. If your POS printer supports 80mm but your software is set to print 58mm receipts, the content will be centered, leaving blank margins on either side. Conversely, if the software generates 80mm receipts but the printer only supports 58mm, the content will be cut off. In terms of pricing, high-end branded thermal printers can cost anywhere between ৳10,000 and ৳20,000. However, in the Bangladeshi market, several reliable and popular Chinese variants are available at more affordable prices. The average price of a 58mm thermal printer ranges from ৳3,000 to ৳4,500, while an 80mm thermal printer typically costs around ৳6,000 to ৳8,000.

Some of the notable thermal printer models available in this price range include:

  • Deli ES421 (58mm) Price: 3,000 BDT.

  • Rongta RPP02C (58mm) Price: 3,800 BDT.

  • Xprinter XP-58IIL (58mm) Price: 4,500 BDT

  • Xprinter XP-K200L (80mm) Price: 7,000 BDT

  • Rongta RP336-U (80mm) Price: 6,700 BDT

Please note that actual prices may vary slightly depending on supplier and market availability. Currently, we do not sell POS printer machines, but we plan to offer them very soon to meet customer demand.

Cloud POS Software vs PHP POS Software

Several key differences between Cloud POS Software and PHP POS Software can significantly impact a business. When we refer to Cloud POS, we mean a SaaS-based web application that operates through a browser with internet access. On the other hand, PHP POS typically refers to a local server-based POS system that runs on a PC. It’s important to note that many cloud-based POS systems also use PHP as their underlying technology, which means a PHP POS can also be cloud-based if configured accordingly.

Let’s take a closer look at the core differences:
1. Hosting and Access
Cloud POS is hosted on remote cloud servers and can be accessed from anywhere via the internet.
PHP POS, however, is usually installed on a local server or localhost, and access is restricted to the local network unless remote access is manually configured.

2. Installation
Cloud POS requires no manual installation. Users can simply log in via a browser to start using the system (SaaS model).
PHP POS must be manually installed on a local or web server using environments like XAMPP, LAMPP, or WAMP. PHP and MySQL setups are also required.

3. Data Backup & Security
Cloud POS typically offers automatic data backup and enhanced security managed by the hosting provider.
PHP POS requires manual backups. If hardware or server failure occurs, there is a risk of data loss unless proper backup protocols are followed.

4. Updates & Maintenance
Cloud POS is regularly updated by the software provider. Users benefit from automatic updates without any technical involvement.
PHP POS must be updated manually, often requiring assistance from a developer to implement upgrades or bug fixes.

5. Cost & Pricing
Cloud POS generally follows a monthly or annual subscription-based pricing model.
PHP POS is usually sold with a one-time license fee, though ongoing costs for server maintenance, domain hosting, and IT support may apply.

6. User Experience
Cloud POS tends to be faster, responsive, and optimized for mobile use, offering a more modern interface.
PHP POS may have outdated UI/UX, especially if it's an open-source or custom-developed system that lacks regular updates.

7. Multi-Store / Multi-Device Support
Cloud POS easily supports multiple stores, devices, and users, making it scalable for growing businesses.
PHP POS can be more complex to configure for multi-location or multi-user environments and may require separate installations.

If you’re looking for full control over your system and prefer a one-time purchase with no recurring fees, PHP POS could be a good fit. However, in such cases, you may not always get reliable post-sale support or feature updates.

Conversely, if you want a modern, hassle-free POS system with remote accessibility, continuous updates, reliable data backups, multi-store capabilities, multi-user support, and dedicated post-sale service, then Cloud POS is the better option.

At our company, we always recommend and offer cloud-based POS solutions—they are more reliable, flexible, and business-friendly from every angle.
